Connect HubSpot
Send Pengo leads to HubSpot as contacts with a note, and see a visitor's HubSpot contact, company and deals next to the chat in the inbox.
On this page
HubSpot connects in two directions. Pengo sends your leads to HubSpot as contacts, and the inbox shows what HubSpot knows about the visitor you’re talking to.
#Create a private app in HubSpot
Pengo connects with a HubSpot private app’s access token.
-
In HubSpot, create a private app.
-
Give it the scopes Pengo asks for:
crm.objects.contacts.read,crm.objects.contacts.writeandcrm.objects.notes.write. -
Create the app and copy its access token.
#Connect it to Pengo
-
Go to Settings Integrations HubSpot and choose your website.
-
Paste the token into Private app access token.
-
Choose which leads to send: Qualified and above (the default) or All leads.
Pengo checks the token with HubSpot and saves it. The page then shows Connected. If HubSpot doesn’t accept the token, you see “Invalid HubSpot token — check scopes”.
To change which leads you send later, paste the token again along with your new choice. Pengo doesn’t show the saved token.
#What Pengo sends to HubSpot
Pengo creates a lead when a visitor gives their email, for example in the pre-chat or offline form, or when Pengo Intelligence captures it in the chat. HubSpot gets a lead when it’s created, qualified, marked hot or books a meeting, as long as it matches your choice:
| Choice | Leads sent |
|---|---|
| Qualified and above | Qualified, hot, booked and won leads |
| All leads | Every lead with an email address |
For each lead, Pengo creates or updates the HubSpot contact with the same email. It fills in the name, phone, company and two Pengo fields, pengo_lead_score and pengo_lead_status. It also adds a note to the contact with the lead’s score, status, qualification answers and a link to the conversation in Pengo.
#HubSpot in the inbox
Open a conversation and look at the details panel. When the visitor’s email matches a HubSpot contact, a HubSpot section shows:
- The contact’s name, job title, lifecycle stage and lead status
- Their company, with its domain, industry and size
- Their deals, with the amount and stage
Each item links to the record in HubSpot. If the email came from the visitor typing it into the widget, Pengo says so: the match uses an unverified email. To match signed-in customers for certain, set up identity verification.
#What Pengo Actions can do
| Action | What it does | Starts on |
|---|---|---|
| Look up the customer in HubSpot | Checks the customer's HubSpot contact, company and open deals so the answer fits who they are. | Auto |
| Open a HubSpot ticket | Opens a HubSpot ticket, linked to the customer's contact, for anything your team needs to follow up. | Ask first |
| Update a contact field | Sets one of the HubSpot fields you've approved on the customer's contact, checked against the field's type. | Ask first |
| Log a note | Logs a note on the customer's HubSpot contact, with a link back to the conversation. | Ask first |
| Create a deal | Opens a HubSpot deal on the customer's contact when they show buying intent, so sales can pick it up. | Ask first |
Change each one's mode in Intelligence › Actions. Every detail, including who each action is for, is in the HubSpot actions reference.
Tickets link back to the conversation. Pengo only reads CRM data for customers whose identity is verified.
Common questions
Which leads go to HubSpot?
By default, leads that are qualified, hot, booked or won. Choose All leads to send every lead. A lead needs an email address to sync, because HubSpot contacts are matched by email.
How quickly do leads show up in HubSpot?
Pengo sends leads to HubSpot every 10 minutes. If HubSpot rejects one, Pengo tries again later, waiting a little longer each time.
Why does the inbox say a contact was matched by an unverified email?
The visitor typed that email into the widget, so Pengo can't be sure it's theirs. Use identity verification to recognise signed-in customers for certain.
