Invite your team
Invite teammates to your Pengo workspace, choose their role and which websites they can see, and learn how many seats each plan includes.
Bring your teammates into Pengo so you can share the chat load. Each person gets their own login, a role that sets what they can do, and access to the websites you choose.
#Invite a teammate
-
Go to Settings Team Members and click Invite member.
-
Enter their Email address.
-
Pick a Role: Agent, Manager or Viewer. See Roles below.
-
Under Website access, choose All websites (including any you add later) or Specific websites, then tick the websites they should see.
-
Under Chat history, turn on View all team chats if they should see every conversation. When it’s off, they only see their own chats and unassigned ones.
-
Click Send invite.
Your teammate gets an email with an Accept invitation button. Clicking it asks them to sign in with the email address you invited, and then opens the Inbox. If they don’t have a Pengo account yet, they create one with that same email address, then click Accept invitation in the email again. The link expires after 7 days.
Until they accept, they’re listed as Pending on the Members page. The counters at the top show Total members, Active and Pending.
#Roles
Every workspace has one Owner: the person who created it. You give everyone else one of three roles when you invite them.
| Role | Best for |
|---|---|
| Owner | The person who created the workspace. Full access, including billing and the team. |
| Agent | Support agents who answer chats. |
| Manager | Team leads who run settings and read analytics, without billing access. |
| Viewer | People who need to see conversations and reports, read-only. Viewers can’t reply. |
Here’s what each role can open in the dashboard:
| Owner | Manager | Agent | Viewer | |
|---|---|---|---|---|
| Inbox: read conversations | Yes | Yes | Yes | Yes |
| Inbox: reply, assign and resolve | Yes | Yes | Yes | No |
| Live | Yes | Yes | Yes | Yes |
| Analytics and Ops | Yes | Yes | No | Yes |
| Settings | Yes | Yes | No | Read-only |
| Contacts | Yes | No | No | No |
| Billing | Yes | No | No | No |
| Invite, edit and remove teammates | Yes | No | No | No |
Some workspace-wide actions stay with the owner even though managers can open Settings, such as adding websites and inviting teammates.
#Seats on each plan
Each person on the team uses one seat, and that includes you as the owner.
| Plan | Seats |
|---|---|
| Free | 1 (just you) |
| Starter | Up to 3 |
| Team, Business, Plus and Enterprise | Unlimited |
When every seat on your plan is in use, Pengo won’t send new invitations, and a pending invitation can’t be accepted. Upgrade your plan or remove a teammate to make room. Paid plans are billed per seat, and Pengo updates your seat count when someone accepts an invitation or is removed. See Plans and limits for prices.
#Change access or remove a teammate
On the Members page, open the menu next to a teammate:
- Edit permissions changes their Website access and Chat history. Click Save changes when you’re done.
- Remove member takes away their access straight away.
To change someone’s role, remove them and invite them again with the new role.
Common questions
Can I change a teammate's role after inviting them?
Not directly. Edit permissions only changes website access and chat history. To change someone's role, remove them and invite them again with the new role.
Do pending invitations use a seat?
No. A seat is used when the teammate accepts. If your plan has no free seats by then, they can't join until you upgrade or remove someone.
My teammate's invitation link doesn't work. What should I do?
Invitation links expire after 7 days, and they only work for the email address you invited. Remove the pending invitation and send a new one.
